Terms and Conditions
1. TITLE AND TYPE OF EXHIBITION
PARKLANDS ASIAN WEDDING FAIR
2. VENUE, DATE AND OPENING HOURS
This exhibition will be held at The Cedar Suite, Parklands Leisure Centre, Oadby on 16th March 2008.
Opening hours for the general public are 11.00-16.00 on Sunday 16th March 2008. Exhibitors and their staff should be present by 10.15, to sign in and set up their stands/space. Set up is from 7am and should be cleared by 18.00.

4. ADMISSION
This exhibition is open to all wedding service providers, whether operating locally, nationally or otherwise. The organiser reserves the right to refuse admission to any company, organisation, body or individual whose credentials fail to satisfy the official exhibition requirements. The organiser is under no obligation to give the reasons for refusal, and their decision is final.
Application forms should reach the above address no later than 31st January 2008. Exhibitors are advised to submit their application form in as early as possible to avoid disappointment as stand allocation will be on a first come, first serve basis. Application forms submitted after the closing date will be accepted only if the necessary stand space is available.
5. PRODUCTS DISPLAY
All products displayed must correspond to the description indicated by the exhibitors on the application form. If the products fail to correspond to those given in the application form the organiser reserves the right to immediately close the stand and exclude the exhibitor from future exhibitions. The exhibitor will have no right to refunds or compensation of any kind.
6. PRODUCT SALES
Products displayed may be sold directly to the general public. Products should clearly display the price of all products on sale. Exhibitors should issue a receipt for any products they sell and must comply with tax regulations in force.
7. ACCEPTANCE OF TERMS AND CONDITIONS
By signing the Application Form, exhibitors agree to display products only on allocated stands. They also accept the full terms and conditions herein and any additional conditions or measures which the organiser may decide to implement at any moment in the general interest of the exhibition. Failure to comply with any conditions set out herein may result in exclusion from the exhibition and no refund or compensation given.
8. STAND FEES, REGISTRATION FEES, PAYMENT
Registration at The Asian Wedding Directory’s Wedding Exhibition is effective on receipt of an Application Form, filled in and signed by the registered owner of the exhibiting organisation or his/her representative.
Stand Fees
Exhibitors have a choice of two types of stands. Space is also available for exhibitors not requiring a stand.
Round Table per 1.8m diameter £120
Space per 2m x 2m £120
An exhibitor may request as many stands/spaces as they wish. The organiser will make every effort to provide the number of stands/spaces requested by the exhibitor, but reserve the right to modify the number of stands/spaces allocated should this be made necessary by limited availability of space and general organisation of the exhibition.
Payment
Completed and signed Application Forms should reach the organiser and must be accompanied by payment. Payment can be made by cheque or postal order to ‘Farhana Shaikh.’ Other methods of payment may be arranged with the Organiser.
Application Forms received without appropriate payment and/or not filled in correctly will not be accepted.
9. REGISTRATION OF REPRESENTED COMPANIES
Exhibitors are responsible for supplying the trading names and all other relevant information regarding the companies they represent and whose products they wish to display on their stands.
10. STAND ALLOCATION
The organiser will notify the exhibitors of stand allocations. Stands may be used only by the exhibitors whom they have been allocated. Exhibitors may not sublet allocated stand space, to other exhibitors. In allocating stands, the organiser will take full account of the general interests of the exhibition, the product categories and the wishes of the applicants. The organiser reserves the right to change original stand locations and allocations and if necessary, to modify stand layout and/or size.
11. CANCELLATION
If the cancelled stand cannot be reallocated, the organiser reserves the right to refuse a refund for the amounts already paid. If registration is cancelled after 16th January 2008, the exhibitor has no right to a refund or compensation.
12. NON ARRIVAL OR DELAYED ARRIVAL
If for any reason the exhibitor does not take possession of their stand on 16th March 2008 before 10.45am, or arrives after the official opening of the exhibition, the organiser reserves the right to cancel the application and to reallocate the stand. The exhibitor in this case has no right to refunds or compensation of any sort and must pay for the entire stand fees. Failure to comply may result in future exclusion from the organiser’s exhibitions.
13. STAND DESIGN AND INSTALLATION
The interior of all stands must comply with Health and Safety Regulations. Exhibitors must submit their stand designs to the organiser for advance approval. All exhibitors are responsible for setting up their own stands.
14. STAND SECURITY
Exhibitors are responsible for the security of their own stands during the exhibition and during set up. Exhibitors should ensure that their stands are manned at all times and that any valuables are kept secure. The organiser will not be held responsible for any damage caused to the products on display or otherwise. The organiser advises exhibitors to refrain from displaying valuable items on their stand.
16. ONLINE SHOW GUIDE
The organiser’s website, http://www.theasianwedding.co.uk offer visitors an online show guide, with details of exhibitors participating in the exhibition. This will give them the opportunity to pre-register, plan their visit and book an appointment with an exhibitor before their arrival on the day.
17. INSURANCE
The organiser strongly advises its exhibitors to ensure any valuables and products used for display/selling on their stands. The organiser accepts no responsibility for any loss, damage or injury caused to any valuables, products or persons during, before or after the exhibition.
18. DAMAGE TO STANDS
Exhibitors should return their stands and space in the state in which they received them. Any expenses for cleaning or repair will be charged to the exhibitor.
19. CHANGES TO THE CONDITIONS; ADDITIONS TO THE CONDITIONS
The organiser reserves the right to introduce any changes, modifications and additions to the conditions set herein, which they deem appropriate, even when this constitutes an exception to the conditions already set. These changes, modifications and additions are part of these terms and conditions and are legally binding. The organiser reserves the right to close any stand which fails to comply with these conditions. In this case, the exhibitor will have no right to refunds or compensation.
20. PROHIBITIONS
Any action which may disturb, prejudice, or damage the smooth running of the exhibition day is strictly forbidden.
21. SECURITY
The exhibitors agrees to comply with all Health & Safety, Accident Prevention and Fire regulations to ensure the safety and security of its staff, products, stand space and the general public. The exhibitor name and contact name given on the Application Form will be fully responsible for manning the stand at all times and ensuring that these regulations are strictly adhered to.
22. LOUDSPEAKERS AND BROADCASTING
Sound broadcasting, including the use of radios, TV sets and laptop computers is permitted on the stand providing this does not cause disturbance or inconvenience. Exhibitors will be fully responsible for the security and safety of these.
23. FORCE MAJEURE
In cases of force majeure, or as a result of circumstances beyond the control of the organiser, the dates of the exhibition may be changed and the exhibition itself may be cancelled. If the exhibition is cancelled, exhibitors will duly be refunded for the stand/space they have already paid. Any other expenses which may have incurred however will not be refunded and any claim for compensation cannot be made for these expenses. The organiser will not be considered responsible for any major damage caused to an exhibitor; therefore no legal action can be taken.
24. DATA PROTECTION
Information supplied by exhibitors on the Application Form will be processed in accordance with the Data Protection Act. By signing the Application Form the exhibitor authorises the organiser to use the information supplied for the purposes of administration, research, marketing, press, promotion and information for the general public.
25. APPLICABLE LAW
These terms and conditions shall be governed by the Laws of England and any disputes will be settled according to English law.
